The attendee list is in one spreadsheet. Payment follow-up is somewhere else. Last-minute changes arrive by email. Your manager asks whether the event is “under control”.
That is often the moment when companies start looking for a better way to plan and manage events.
When you are responsible for events with many attendees, you already know you need structure. The real question is how much time and control the right system can give you back.
Maybe your company spends a lot of time preparing for events, without the experience or results turning out quite as planned. Or maybe you are tired of keeping track of attendees, payments, changes, emails, spreadsheets and practical details in too many places at once.
Many companies in the Nordics are in the same situation. Digital tools can make the work far easier, but only if they actually fit the way events are planned and run.
This article is for companies that run conferences, seminars, courses, internal gatherings or member events, and need a better way to manage registration, communication, payments and attendee information in one place.
That is why many companies choose Proviso: a widely used event platform for reducing manual work and keeping control of the details.
Here are seven questions companies often ask before they start using Proviso.
Proviso is a web-based event platform for companies that host one or more events with many attendees.
You can buy access to the system, get training and use it yourselves. Or you can give Proviso the practical information needed, and let our support team use the system on your behalf to manage attendees.
In both cases, the goal is the same: to make it easier to handle large numbers of attendees without losing track of the details.
Proviso can be used for all types of events with many attendees. The more attendees you have, and the more information you need to manage, the more useful the system becomes.
You can send invitations, create registration forms, manage consents and terms, send SMS messages and emails, issue invoices, accept payment by credit card or Vipps, create websites, run polls, create apps, conduct evaluations, check in attendees, produce digital broadcasts and create course portals.
The main value is that attendee information is gathered in one place. That means less manual work, better overview and fewer mistakes before, during and after the event.

The pricing model is built to be simple and flexible.
You choose the package with the modules you need and specify your expected number of attendees per year. When we enter into an agreement, you pay a one-time startup, setup and onboarding fee. After that, you pay a fixed monthly fee for as long as the agreement runs.
All agreements run for one year and then continue with three months’ rolling notice. If your needs change, you can adjust your package, your number of attendees per year or the number of licences at any time.
Many customers start with Basic or Business and upgrade when they become more familiar with Proviso.
You receive one licence at startup. There is no recurring licence fee per user per year. If you need more licences than those included in your package, you can order them as a one-time cost.
You decide who uses the licences you have purchased, which makes staff changes easier to handle.
If you only need help with one event, Proviso puts together the services you need. You pay for the elements you have chosen, plus a per-attendee fee.

No. If you buy fixed access and use the system yourselves, we help you set up the templates you need and provide four hours of training. That gives you a practical introduction to the system and how the different functions work together.
You also get access to a help centre inside Proviso, where you can search for detailed information about the functions. There are also help videos, advice and tips.
If you need help, you can contact us for free support every weekday from 08:00–11:00 and 12:00–16:00.
If you only use Proviso for a one-off event, our support team can produce the elements you need and use the system on your behalf. You receive a login so you can follow the work if you want to, but you do not need to do anything yourself. You can also receive report links instead, so you do not have to log in at all.
With a login, you can also use the Proviso user app to keep track of attendee numbers, payments and other useful information from your phone.

Yes. Proviso has a standard open API and can communicate with most modern systems.
We usually recommend that new customers use Proviso for a period before planning integrations. That gives you a better understanding of what you actually need, whether the answer is a standard API or a customised solution.
Proviso has active integrations with CRM systems, accounting systems, and event streaming solutions.
Events often involve a lot of personal information: names, contact details, dietary needs, accommodation, payment information, consents, attendance data and evaluation responses.
Proviso helps you keep this information in one system instead of spreading it across spreadsheets, inboxes and separate tools. You can manage registration, consents, terms, communication and attendee changes in the same place.
That makes it easier to keep control of attendee data and work in line with GDPR expectations.
This is especially relevant for companies, associations, financial institutions, universities and other organisations where privacy, traceability and secure handling of personal data matter.
You are not left alone with the system. You get access to experienced advisors every weekday from 08:00–11:00 and 12:00–16:00. You can call us, email us or chat with us.
Our support team can help with technical questions about the platform and practical questions about how to run your event. Everyone in the team has experience from courses, conferences, travel and the events industry, so you get advice based on real event work.
That can be especially useful when deadlines are close, attendee questions keep coming in, or you are setting up a more complex registration flow and want to get it right from the start.
If you buy fixed access and use the system yourselves, Proviso helps you get started with setup, templates and training. Our advisors also run training courses, either in person or on Teams, and we offer free weekly webinars for Proviso users.
For larger or more complex events, you can book workshops or get help from experienced project managers. They can keep track of tasks, progress and quality assurance on your behalf.
The point is to help you feel confident enough to spend less time worrying about details and more time on the event itself.
